In common with other clubs and organisations that collect and hold personal data, the Eckington Probus Club is subject to the provisions of Data Protection legislation. This requires compliance with the General Data Protection Regulation (GDPR) and this Privacy Policy statement contains details of the information we collect and how we use that information. References to “the club”, “we”, “us” and “our” are to the Eckington Probus Club. References to “our Website” or “the Website” are to www.eckingtonprobus.org.uk.
In applying for membership to the the Club, all applicants are requested to provide some personal information about themselves. This currently includes contact details: Name, address, telephone number, email address, their profession/business, interests and hobbies and their spouse/partner’s name. This data is retained and used by the Club solely for administering the Club’s affairs and is not passed on to any third party or other organisation.
To enable the efficient administration of Club affairs, members’ details are held on a computer database, spreadsheet or lists, administered by the Club Secretary and made available to other officers of the Club as required. Such information is only used for Club affairs and data relating to ex-members is removed as soon as practicable. Particular care is taken to ensure that members’ data held on personally administered computers are kept safe and secure using encryption and/or password protection where appropriate. Personal information which you supply to us will be used in the following ways:
- To create an individual member record for the purpose of managing the Club and enabling contact and communication with members in respect of Club events and activities.
- All emails sent to multiple members will be sent so that recipients’ emails are not visible (bcc or other methods) and will be sent or received by the Club Secretary, whose email address is eckingtonprobusclub@gmail.com.
- We may pass your name only to other parties who are providing services to us in order that we can provide services to you, or when it is requested by a lawfully-authorised body. The only current example is the restaurant at our Club’s venue, where names are required in order to provide an efficient service for our lunches.
- We will keep your personal data for as long as you are a member of the club.
Members have rights under the GDPR in relation to their personal data, and may vary their consent at any time, using these rights as follows:
- To request access to their data via a “Subject Access Request”
- To request their data be corrected
- To request that their personal data is erased in certain circumstances
- To object to or restrict the processing of their personal data
- To request transfer of their personal data in certain circumstances
- To withdraw consent to the use of their personal data
